Bryan Construction Construction Project Administrator in Greenwood Village, Colorado

The Construction Project Administrator provides operational support tomultiple projects, carries out project tasks as directed by the ProjectManager. The Administrator is directly responsible for the management ofsubcontract documents, project accounting administration and trade partnercommunication.Top Responsibilities Support Executive Manager's, Project Manager's, ProjectEngineer's, Superintendents and Preconstruction/Estimating staff ondaily dutie Contract Compliance, inclusive of collection and tracking ofInsurance, Bonding, Major Material Suppliers Project cost accounting procedures, inclusive of budgets, payapplications, job cost coding, job invoicing, lien waivers, certifiedpayroll, subcontractor/vendor check distribution, credit card receipttracking/ Office Management, inclusive of mail collection/distribution, officesupplies, coordination with building management, phone managementPrimary Duties Project setup in Sage and Procore Set up electronic job files for the office and field Prepare and issue subcontractor contracts and purchase orders including:o Pay appso W-9o Certificate of Insuranceo Bondingo Material Supplier List Coordinate contract document index for project for use in subcontracts andowner agreements. Maintain and track insurance renewals for subcontractors Assist with prep on application for payment to the owner and prepare anyextra documentso (i.e.: conditional lien waivers, unconditional lien waivers,invoices/pay apps) Assist with review of sub pay apps and invoices for accuracy andcoordinate with Project Manager on resolving discrepancies. Distribution of checks to subs and obtaining sub lien waivers Ensure alignment on project budgets for all contracts, budgets, budgetadjustments, purchase orders, and change orders in between Sage and Procore Archive files at the end of a project Coding and collecting of receipts for credit card statements for ProjectManagers and field personnel Order and distribute office supplies for office and field personnel Create spreadsheets for tracking of various information as needed bymanagement Prepare shipping documents and pack items for shipping via FedEx, UPS,and USPS Set up meeting invitations in Outlook and prepare documents or catering asneeded Import/export needed information into QCS on Federal Projects if assigned.o RFI entry and distribution of responses receivedo Data entry for certified payrollso Subcontractorso Insuranceo SF 1413's Review subcontractor certified payrolls and preparation of forms forsubmission to Government agencies as required. Assist in obtaining badge privileges for Bryan employees and subcontractors Notarize documents for office staff and Subcontractors Supervises the maintenance and alteration of office areas and equipment,as well as layout, arrangement, and housekeeping of office facilities Manage office, shop, kitchen, and toiletry supplies Negotiates the purchase of office supplies and furniture, officeequipment, etc., for the entire staff in accordance with companypurchasing policies and budgetary restrictions Supervises the maintenance of office equipment and software pertaining tooffice administration, including printing needs (business cards,letterhead, envelopes, etc.) Responsible for the facilities day-to-day operations (such asdistributing building access keys, parking passes, and back-up to securityaccess cards, etc.)Required Skills Minimum 2 years of experience in Commercial Construction. Proficient with MS Office Programs Good understanding of construction practices and procedures Ability to multi-task on multiple complex projects at one time Working knowledge of mail processes such as postage machine, FederalExpress and UPS. Good planning and organizational skills. Well-developed interpersonal and communication skills.
