Job Summary

JOB SUMMARY

Working in a variable capacity, is responsible for facility operations and activity registrations, to include oversite of facility, assisting supervisor with facility scheduling, and providing quality customer service. Responsible for securing the building, preparing and breaking down set-ups for facility activities and minor maintenance projects. Responsible for filling in at the front desk and following front desk procedures.

Major Tasks, Duties, and Responsibilities

MAJOR TASKS, DUTIES AND RESPONSIBILITIES (This job description does not intend to list every function of the position.)

ESSENTIAL FUNCTIONS

Responsible for the oversight and efficient operation of the Clements Center facility.

Assures appropriate maintenance, upkeep, cleanliness, care and security of assigned facilities and equipment.

Assists supervisor in the coordination of classes, public facility use and private rentals.

Responsible for program set-ups, breakdowns and transitions during evenings and weekend hours.

Ensures that participants and the public are greeted and assisted in a timely and effective manner.

Performs work that is physical in nature, with frequent need to move about the complex.

Fills in for supervisor when needed.

Responds to visitor needs, suggestions and requests in a timely fashion.

Actively participates in center and department meetings and projects.

Supports efforts of the Community Resources Department and Recreation Division.

Supports the Clements Community Centers team of staff and services.

Adheres to Clements Center rental revenue accountability process.

IMPORTANT FUNCTIONS

Ability to multi-task while working a diverse schedule.

Organizes facility recreational supplies, major and minor equipment, custodial supplies, coffee supplies, paper products, etc.

Assists supervisor by collecting on past due rental revenue.

Interacts with prospective renters and "sells" the Clements Center complex.

Removes snow and litter from walkways and sidewalks around the complex as needed.

Assists in information and referral processes for facility users.

Performs related duties as assigned.

Receives general supervision from the Assistant Facility Specialist.

Essential Qualifications

ESSENTIAL QUALIFICATIONS (Knowledge, Skills and Abilities)

Education

High school diploma or equivalent.

Experience

Previous experience in building supervision or related field.

Experience in guest reception, with extensive public contact, facility maintenance, and project organization.

Prefer experience in the operation of a multi-purpose recreation or service facility.

Must have some mechanical ability to perform minor building repairs.

Preferred experience:

Using RecTrac or similar software package to process rental payments and activity registrations.

Prefer at least one year work as a building supervisor or technician.

Experience working with older adults is preferred.

Licensure/Certification/Registration:

CPR Certification or ability to obtain within six weeks.

First Aid Certification or ability to obtain within six weeks.

Requires regular and prompt attendance.

Must have the ability to transport oneself to off-site locations.

Post-offer physical exam is required.

PHYSICAL AND MENTAL REQUIREMENTS

PHYSICAL REQUIREMENTS

Lifting and Carrying

Must be able to lift and carry 6 ft. tables to various locations.

Will also move other furniture such as chairs, partitions, etc. from building to building within the complex using assistance if needed.

Must have ability to move books and other objects weighing up to 50 lbs. using a cart or dolly.

Pushing and Pulling

Must be able to push a stack of 50 lb. chairs on a chair dolly.

Body Positions

Must be able to sit at a desk or a computer stand some of the time. Moves about the Clements Center complex to set up for facility activities and to observe and secure the facilities.

Hearing

Employee must be able to respond to the telephone.

Vision

Employee uses vision to read hand written material, conduct visual checks of the premises, use computer, arrange rooms for activities, secure the building, etc.

MENTAL REQUIREMENTS:

Mathematics

Must have basic addition, subtraction, multiplication and division skills for calculation of class registration fees and collecting/calculating facility rental revenue.

Remembering

Must remember city policies and procedures that pertain to this position.

Language Ability

Must be able to read and comprehend memos. Must be able to compose facility schedules. Must be able to communicate with staff and participants.

Reasoning

Must make decisions when dealing with potential or current renters. Must make decisions when there is a facility, participant or staff emergency. Must make decisions when supervising building with minimal supervision.

WORK ENVIRONMENT

Work is performed in an office/facility environment.

Work includes constant interruptions.

Work requires strong time management skills due to diversity of tasks, performing multiple activities at one time and meeting the needs of staff, participants and the public.

Will cover daytime, evening and or weekends.

Work involves dealing with angry, frustrated or upset individuals.
